How to email a college volleyball coach

The mechanics behind the email — subject lines, structure, personalization, mistakes to avoid, and when to follow up.

What strong subject lines look like

A coach scanning their phone in between film sessions decides whether to open your email in less than a second. The fastest way to earn that open is to put the data they sort by into the subject — grad year, position, height, and a date or stat.

Avoid emojis, all-caps, clickbait, and vague hooks like "Quick question, Coach." Coaches assume those are mass blasts and tab them away.

Structure

The 5-block first email

  • Block 1 — Greeting by name (no 'Dear Coach' blasts).
  • Block 2 — One sentence that says who you are: grad year, position, height, club, jersey.
  • Block 3 — One sentence that explains why this program specifically (system, academic, conference, recent result).
  • Block 4 — Key data + highlight link: GPA, test scores, top stats, 60–90 second video.
  • Block 5 — One specific ask + your next tournament/camp where they can see you.

Total length: under 200 words. Anything longer gets skimmed or skipped.

Personalization

How to make it feel one-to-one

The difference between a 5% reply rate and a 25% reply rate is one sentence — the one that proves you actually looked at this program. Pick from:

  • A recent result or tournament finish you watched or read about.
  • A returning starter at your position whose game you'd want to learn from.
  • An academic program at the school that matches your intended major.
  • Something specific about how they play — fast tempo, defensive scheme, serve pressure.
  • An assistant or alum from your area or club who connects you to the staff.

Skip anything that's true of 500 other programs ("great culture", "amazing facilities"). Coaches read those as filler.

Mistakes

Mistakes to avoid

  • Generic openers — 'Dear Coach, I am very interested in your program.'
  • Long autobiographies — coaches don't need your life story in email one.
  • Stats with no source — '5.0 passer' means nothing without context.
  • Highlight video buried at the bottom — put it in the first half of the email.
  • Asking the coach to do work — 'Can you send me your camp info?' Look it up yourself.
  • Parent-written tone — 'My daughter would be an asset to your program.'
  • BCC blasts to dozens of programs at once — the formatting always gives it away.
Follow-up timing

When (and how) to follow up

  • 10–14 days after the first email if no reply — short, add something new (clip, stat, event).
  • 2–3 weeks after that if still no reply — milestone update (highlight, tournament result, academic update).
  • After that, switch to event-based pings every 4–6 weeks — new film, big tournament, season recap.
  • Always reply to coach replies within 24 hours, even if your full answer takes longer.
  • Stop chasing after 3–4 unanswered milestone pings — note the program as cold and revisit in a quarter.
